Created RPA Bots To Fast Forward LinkedIn Lead Tracking

The client provides software engineering services to Independendent Software Vendors, SaaS providers, and System Integrators. They are also a certified healthcare IT solutions provider, with it's customer base extensively in the United States.

The Challenge

The client has been using LinkedIn as one of their source to attract leads for their sales campaigns. Their core digital team from the marketing department had to use their LinkedIn account daily to get updates on the lead campaign. The team had to download the relevant data and upload the information into their CRM application through the following manual steps:

  • Creating an Account
  • Add a Lead
  • Create the Task
  • Assign the Task
  • Add Accounts for Inbound Queries

The process of logging in, downloading, and updating data on the CRM was a daily process. With this tasks being repetitive and time-consuming, there were expected risks of delayed contact with leads, which affected internal communication, clients data & interaction and it also impacted business negatively at some level.

The Solution

Rahvita's R&D team analyzed the situation and decided to optimize the organization's leads' data into the CRM. The team led by our Project Head reviewed and suggested we create an RPA bot to simplify LinkedIn leads tracking.

Phased Development

It was decided and agreed upon to have a smaller versions of the bot that will be deployed live in short intervals and later upgrade this bot depending on future enhancements and requirement.

We planned a phased development of the and executed it through the method of Continuous Integration & Continuous Deployment (CI/CD). In each of the phase's or sprint, our team reviewed the bot for any case of errors, the bot was sharing screenshots and triggered all notifications to enable corrective measures.

The Process we followed :

In every sprint, we updated the packaged code & deployed it to the testing server as well as the productiopn servcer before it went live.

Sprint 1 : Preparation

Rahvita's team in coordination with the clients Project Management team went through the details and thoroughly analyzed on creating the test cases. We installed UiPath on the server of the client and created a repository. We laid down the process on project configuration and architecture. We created the CI/CD pipeline.

SPRINT 2: Lead Identification on Linkedin

On this second sprint, the bots were made to sign in to the client users LinkedIn accounts, process checks for finding new leads, export them, deposit the data on the server, and send email notifications to the marketing team

SPRINT 3: Lead Auto-Update in the CRM

Here the Bot would login into the CRM Application and verify all the latest updated leads with the pre-exisiting data. If the bot finds a lead to be unique, it will create an account under the company name and add the details of the lead with the required fields.

SPRINT 4: Assigning Tasks and creating notification in the CRM

Here the bot would send notification to the team on information for the latest updated leads and auto-assign tasks to clients team members for Inbound Marketing campaigns.

SPRINT 5: Creating a consolidated report

To conclude, Periodically, a consolidated report will be generated and shared to the team with the required specifics

Benefit to the client :

  • Timely Updates: The bot auto shares an update to the clients team every 30 minutes on the volume of leads the team have received.
  • Accurate Data: The data for leads is well cross verified with the exisiting database of leads in the CRM to avoid duplication of the data.
